Use the cheapest recovery window first: correct the order before dispatch, turn warehouse QC into evidence, and treat post-shipment damage as a parcel claim.

Most buying-agent losses come from a small mistake made at the wrong stage: a buyer notices a defect after international shipping, waits too long to ask for a seller return, discards a damaged carton before taking evidence, or assumes a coupon will be restored automatically after a refund. The useful way to think about Superbuy after-sales is not as one “refund policy,” but as three recovery windows: before the seller dispatches, after the item reaches the warehouse, and after the international parcel ships.

The remedy, evidence and likely cost change when an order moves between windows.

Window 1: fix the order before domestic dispatch

Before a Chinese seller ships, verify the size, color, model, quantity and special instructions shown in the Superbuy order. A listing can contain several variants with different materials or included accessories.

If something is wrong, use the order enquiry while the purchase is still domestic. Superbuy’s customer-service page directs purchase, dispatch, return and refund questions to My Order and the Message Agent function. A request attached to the relevant order is easier to identify than a general support message.

Do not treat every marketplace as if it has the same protection. Superbuy currently lists mainstream-platform purchasing such as Taobao, Tmall, JD.com and 1688 with no basic purchasing service fee, while some second-hand and unlisted-platform orders carry additional service fees. Public guidance also warns that some third-party or second-hand purchases can involve weaker after-sales conditions or may not be eligible for return or exchange.

For pre-sale, customized or difficult-to-verify products, decide your cancellation tolerance before paying. An agent can communicate with the seller, but the seller’s conditions still influence what can be changed or recovered.

Window 2: use warehouse evidence before international shipping

Warehouse arrival is the most valuable decision point because the item is physically available for inspection but has not crossed an international border.

Superbuy’s public service materials describe warehouse inspection and photo checking during the shopping-agent process. The current fee page lists optional evidence services: Detailed Photo at CN¥2 per image, Re-inspection at CN¥6 per item, Detailed Inspection at CN¥5.50 per item and Power-on Inspection for supported electronics at CN¥12 per item.

The goal is not to buy every inspection option. Buy evidence only when it can change a decision. A targeted photo can resolve a concern about a seam, label or small cosmetic flaw. Re-inspection is more relevant when the question is color, size, model or quantity. For an electronic item that only has value when it powers on, a power-on check may be more useful than several general images.

Paid inspection improves evidence; it does not create a seller return right.

Storage time is not return time

Superbuy currently lists 90 days of free warehouse storage, with storage fees after that and a maximum storage framework of 180 days. That gives you time to build a parcel. It does not mean a seller must accept a return for 90 days.

Superbuy’s published agreement describes a five-day return-or-exchange framework for eligible products purchased on a user’s behalf, while also saying some orders cannot be returned or exchanged and repeat use may involve charges. Seller, product and platform conditions still matter. Treat the number as a reason to act quickly, not as a universal guarantee.

When a warehouse photo shows a material problem, stop parcel planning and open the order enquiry. Waiting can consume the window in which a domestic return is still realistic.

Also separate product quality from route eligibility. Superbuy’s shipping calculator says prohibited items should be returned to the seller if they reach the warehouse and classifies batteries, liquids, powders, foods and medicines separately. A perfect item can still be unsuitable.

Build a four-part evidence packet

A strong after-sales request should be easy to verify. Identify the exact order, item and variant. State what the listing or order required. Point to the warehouse photo or inspection result that shows the mismatch. Then state the remedy you want: return, exchange, missing-part correction or clarification before shipping.

“Item is bad” creates another round of questions. “Order X, black size L; warehouse image shows blue size L; please request exchange for the ordered black variant” is operational.

If the defect is uncertain, request one photo that proves or disproves it. If the mismatch is already obvious, do not spend money collecting decorative evidence.

A refund is not always a complete reversal of every cost

Superbuy’s fee structure separates product price, China domestic shipping, purchasing-service fees where applicable, optional value-added services and later international shipping. That matters when evaluating a return.

A seller refund of the product price does not automatically mean every already-consumed service or movement cost disappears. Optional inspection work may already have been performed. Domestic return shipping can depend on the seller’s terms and reason for return. A special-platform service fee may have been charged for work already completed.

Before approving a return, confirm the expected refund, non-refundable charges, who pays domestic return postage and where the refund will be credited. Compare net recovery with the item’s usable value. For a cheap item, exchanging a harmless flaw can cost more than accepting it; for an expensive or unusable item, the calculation reverses.

Window 3: after international dispatch, think “parcel claim”

Once the parcel leaves China, loss, transit damage, abnormal tracking and delivery disputes belong to the parcel side of the workflow.

Superbuy’s customer-service page directs parcel tracking and logistics problems to My Parcel, then Parcel Details and Problem Consulting. Use that channel so the route and tracking record stay attached to the case.

Evidence changes here. If a parcel arrives crushed, wet, opened or resealed, photograph the external carton and shipping label before discarding packaging. If possible, document the seal condition before opening. Then photograph the internal protection and affected items. For missing items, preserve the parcel label, packaging and any unpacking evidence.

Insurance is a defined recovery layer, not a guarantee

Superbuy’s public agreements explain that international logistics is provided through third-party carriers and that compensation for delay, loss or damage follows applicable carrier or insurance rules. If parcel insurance or route-specific protection is purchased, coverage depends on its terms, insured value, exclusions and claim requirements.

Before submitting a high-value parcel, check whether the route is eligible for protection, what events are covered, the compensation limit, required evidence and exclusions. Prohibited goods, customs actions, inadequate recipient information or other user-caused delivery failures may fall outside normal protection.

The decision should be based on the loss you cannot comfortably absorb, not on vague reassurance.

Shipping reconciliation is not a seller refund

Superbuy’s shopping guidance describes international shipping as a deposit based on estimated weight, route and destination. The final charge is reconciled after the logistics provider verifies parcel size and weight. If the final amount is lower, the difference can be returned to the Superbuy account; if it is higher, additional payment may be required.

That is freight reconciliation, not an item refund. Keep three ledger lines separate: item refunds, warehouse-service charges and shipping reconciliation. Otherwise one account balance change can easily be mistaken for another.

Coupons are conditions, not cash

Superbuy’s current new-user page advertises a CN¥560 new-user gift and describes coupons obtained by completing tasks. Treat that as a coupon bundle or campaign benefit, not CN¥560 of unrestricted cash.

Before using a coupon on a parcel that might change, check minimum spend, eligible route, expiry and whether cancellation affects reuse. Do not assume it will be reissued after cancellation unless the live campaign terms say so.

Route economics also change. If a return or exchange delays a parcel, recheck the live shipping calculator when it is ready.

A practical after-sales decision tree

If the seller has not dispatched, correct the order first. If the item is in the warehouse, inspect the evidence. If the evidence is insufficient, buy the smallest targeted inspection that can resolve the uncertainty. If the item is wrong or materially defective, open the order enquiry immediately and ask what return or exchange terms apply.

If the item is acceptable, stop spending on inspection and move it to parcel planning. If the parcel has already shipped, use the parcel enquiry rather than the seller-return workflow. If there is delivery damage or loss, preserve packaging and logistics evidence and check the protection terms for that route.

At every stage, compare likely recovery with the cost of obtaining it. “Can I request a refund?” is only half the question. “What will I recover after non-refundable services, domestic movement, time and replacement risk?” is the useful version.

Frequently asked buyer questions

Can I return every Superbuy order within five days?

No. Superbuy’s published agreement describes a five-day framework for eligible shopping-agent products, but also states that some orders cannot be returned or exchanged. Seller, marketplace, product and order conditions matter. Ask through the relevant order as soon as a problem appears.

Do 90 days of free storage give me 90 days to return an item?

No. Warehouse storage and seller after-sales are separate clocks. Free storage is useful for consolidation; it is not a return deadline.

Should I always pay for extra QC before returning something?

No. Extra inspection is useful only when it resolves uncertainty. If standard evidence already proves the wrong size, color or obvious damage, more photos may add cost without improving the request.

What should I do if damage appears only after delivery?

Preserve the carton, label, seals and internal packaging, photograph the condition, and use the parcel enquiry channel. A post-delivery transit claim is different from a warehouse-stage seller return.

Can I predict exactly how much money a refund will restore?

Not safely from the product price alone. Product cost, domestic shipping, platform service fees, optional inspections and later freight are separate cost layers. Confirm the expected refund and non-refundable charges before deciding.

The best return strategy is to move the problem to the cheapest stage

A good buying-agent workflow does not eliminate every risk. It discovers each risk while the cheapest remedy is still available.

Verify the order before seller dispatch. Use warehouse photos as a decision tool, not decoration. Treat storage time and return time as different clocks. Preserve precise evidence. Separate seller refunds from service fees and shipping reconciliation. After international dispatch, switch from “return thinking” to “parcel-claim thinking.”

That discipline cannot make every seller accept a return or every carrier approve a claim. It can prevent avoidable delays, weak evidence and accounting confusion from turning a manageable problem into an expensive one.
